Rose Day Of Coordination

The Client hereby engages the Planner to perform the following duties relevant to the Event: 

  • One hour in person or zoom meeting consultation to wrap up all the details and sign the contract.  
  • Unlimited consultations via email and/or telephone during the office hours 8:00 am to 6:00 pm. Keep in mind that on weekends we may be at another event and not be able to take calls.  
  • Get from the client the Timeline already created with all the details, Floor Plan and information of the Vendors ( Name, Phone and Email). 
  • Call the vendors to introduce myself as your coordinator.  
  • Share the Timeline, Floor Plan to the vendors. ( The floor plan has to be made by the decorator) 
  • The Planner will do two calls to the vendors. The first to introduce myself as your Coordinator, send the information of the event  and the second to four days before the event and text the date before all the details ( Name of the venue, address, time to arrive). My client will receive a text message with the information of these calls. 
  • On-site coordination and supervision at the reception for up to 8 hours. 
  • Obtain pending payments or tips from my clients to the vendors. Please place it in an envelope with a vendor name on it. 
  • Management and coordination with ceremony and reception location personnel, if the ceremony is on the same venue.  
  • Greet event guests and direct them to the ceremony or cocktail area and after to the reception. 
  • Coordinate events and announcements throughout the reception with the DJ. 
  • Assist the Principal Client ( Bride, Groom or Quinceanera), principal tables ( family) first during the event. The food will be served first to these tables. 
  • Assist the guests and family  in any situation. 
  • Collect personal items related to reception (Guest book, pictures, leftover food, other items that my client approve) 
  • The Event Coordinator will use reasonable efforts to plan and coordinate the event according to the Client’s specifications. 
  • The Event Coordinator is not responsible for the actions or services of third-party vendors, but will facilitate communication between the Client and vendors. 
  • Emergency kit. 

        The Planner is required to obtain written consent from the Client prior to entering into any contractual agreements or prior to issuing deposits or invoices.
